Summary of position: In conjunction with the Customized & Faculty-Led

Programs team and IES Abroad Center staff, the Customized Program Coordinator Graduate Intern temporary position collaborates, coordinates and communicates with various stakeholders on vital program administration including, but not limited to student communication, pre-departure maintenance, and post-program administration.

Essential job responsibilities & duties: General administrative support, such as maintaining pre-departure information and program content online, updating student and program statuses, and internal communication regarding program materials and requirements. Communicate and collaborate with the Customized Program Managers (CPMs), Assistant Directors, Executive Director, Customized Program Coordinators (CPCs) and IES Abroad Center staff to coordinate program details to handle proposals in various stages of the process.

Manage the internal student arrival check-in process. Maintain and update systems with current information and troubleshoot on student issues. Upload student rosters and process student registration. Work with Assistant Director to enhance student support operations. Troubleshoot technological challenges as needed. Communicate with CPMs/CPCs to ensure student registration and forms deadlines are met for each program.

Process medical and accommodation reports and note sensitive student information for Student Affairs and Center staff follow up. Enroll program participants in medical insurance as necessary. Customize and edit program/destination-specific pre-departure guides. In collaboration with Assistant Director, create efficiencies in operations and data management. Update internal website as directed. Regular and predictable attendance is an essential function of this job. Other duties/projects as assigned and/or required. Experience & Qualifications/Skills: 2+ years' experience in an administrative role.

RESPONSIBILITIES Manage all administrative duties for the Customer Care team, including scheduling customer meetings, updating spreadsheets to track customer outreach initiatives, assisting with updating customer records, etc. Responsible for handling the complete ordering process for consumables

and high-turn inventory orders, including use of ECRS ticket management system and Enterprise Resource Planning. Review, update, and track the status of pending sales orders and return credits.

Aid in compiling sales reports as needed. Coordinate communications between customers and Customer Care team. Manage the Customer Care ticket queue to ensure all tickets have been assigned and customers are assisted in a timely manner. Assist with customer outreach efforts. Assist in identifying and implementing improvement to sales practices. Maintain product offerings and services and assist with promoting them to customers as required. Manage Return Credits and identify trends with returned

products. Assist with collecting payment for past due invoices. Identify and report sales trends.

Increase overall customer satisfaction and service level times. Generate leads for Customer Care Team Members. Collaborate with team members on sales initiatives. Assist management team members and executives as needed. Perform other related duties as required and assigned by the Director of Customer Care. QUALIFICATIONS Associate or Bachelor's degree in Business Administration, Marketing, or another related field or equivalent work experience. High degree of organization and ability to handle multiple objectives at once. Strong verbal and written communication skills.

Strong customer service skills. Highly organized and detail oriented. Ability to manage multiple priorities with flexibility to meet changing needs. Excellent interpersonal skills with ability to demonstrate integrity, professionalism, and exhibit team spirit and enthusiasm. Sales experience is not required but preferred. Conducts fire drills, manages emergency situations during assigned work shifts, and provides coverage in emergency situations. This position requires: 18 years of age or older. Must have a valid driver's license, good driving record, and access to a reliable vehicle to attend trainings, meetings, and/or transport individuals to appointments. Must be able to work flexible hours.
