POSITION DESCRIPTION: Maintains accurate financial reporting for all capitalized assets purchased by or physically located in assigned Central Office cost centers. Verify and analyze property accounting entries made to Florida Accounting Information Resource (FLAIR). Research and analyze transactions and prepare accounting entries required to adjust the Trial Balance for corrections involving FLAIR. Coordinates the annual physical inventory process for assigned districts/offices.

Conduct face-to-face contacts in the home, school and varied community-based settings by interacting with the youth, family and community during non-traditional hours (weekends and evening hours) in addition to business hours. Maintain communication based on departmental requirements for all stages of youth and family involvement, gain firsthand knowledge of where the youth resides, the family, the youth’s immediate and extended environment by meeting in different locations, including the detention centers, schools, homes, out-of-home placements, place of employment, community sites, other agencies, treatment providers and offices.
Assist the youth with obtaining appropriate mental health, substance abuse evaluations based on administered backssments, and arrange for specialized testing and treatment, as needed. Assist youth and family with school and after school enrollment, maintain school contact, verifying school attendance, academic performance, and behavior.
Provide crisis intervention; assist the youth and family in accessing crisis intervention services/resources by making necessary referrals and follow-up on actions taken. Work with the youth to establish personal goals/plans and provide ongoing support to help youth achieve their goals and maintain skills. Discuss with youth and family projected timeframes for completion of goals, sanctions/conditions of supervision and anticipated date for termination of supervision based on progress and as ordered by the court. Respond to concerns, needs and risks as presented by youth, family, and the community by staffing cases, plans or violations with the unit supervisor in accordance with existing departmental policies, procedures, administrative rules, and FL statutes.
Determine recommended handling of law violations and provide appropriate interventions when a youth violates the conditions of supervision based on the Effective Response Matrix and follow up on actions taken in response to a violation. Conduct staffing when benchmarks occur, case milestones are achieved by the youth and or family or case is complex and in need of additional considerations (i.
e. when youth is still securely detained a certain number of days pre-adjudication or post disposition, or beyond a timeframe identified in statute, when youth have completed all court ordered requirements and conditions of supervision or violated supervision, and when transition and exit conferences are scheduled for a set number of days prior to the youth’s release from residential commitment, complex cases). Participate in transition and exit planning to finalize plans for the youth pending release from residential programs, which includes referrals for post-residential services to for mental health, substance abuse, education and workforce services.
Records Management Enter into Juvenile Justice Information System (JJIS) all case management activities, including risk/needs screening, backssment and case planning activities related to the youth and family during youth’s involvement in the juvenile justice continuum. Attends Community of Interest meetings and serves as the designated backup resource for the other Classification & Recruitment Coordinator in this section. This position will be responsible for the below duties for their assigned divisions, as follows: Corporations, Historical Resources, and Arts & Culture. Oversees and administers the Department's recruitment and hiring activities, including but
not limited to, posting job announcements in People First, monitoring status of open jobs and reviewing selection modules, auditing new hire packets for completeness, accuracy and compliance with applicable statutes, rules, policies and procedures, for assigned divisions.
Processes the Department's Security Background Investigations of employees, contractors, volunteers and interns, as required per policy. Provides technical assistance and training to hiring managers on recruitment, hiring and background screening procedures. Participates in job fairs, attends briefings with local community partners and advocacy groups to promote recruitment and hiring diversity initiatives. Inputs new
hire and reassignment PARs into the People First system, for assigned divisions.
Completes employment eligibility verifications including I-9/e-Verify. Conducts personnel file reviews with other SPS agencies. Oversees and administers the Department's position classification functions, for assigned divisions. Determines proper position classification and transaction type based on analysis of documentation and applicable class specifications and broadband occupational profiles. Provides technical assistance to agency managers and staff in the preparation of position descriptions. Prepares reorganization and pay plan changes for submission to Department of Management Services.
Conducts job audits, as needed, to determine proper position classification. Maintains up-to-date position description files. Processes organizational changes in the People First system and creates, updates and maintains the Department's organizational charts for assigned divisions. Processes separation of employment actions. Conducts new employee orientation/on-boarding for Career Service, SES and SMS employees for assigned divisions. Oversees the maintenance of employment records in accordance with applicable retention schedules. Schedules and prepares records for storage.
Maintains personnel files for public records inspection and copying. Responds to request for reviewing/copying of personnel files and requests for employment reference checks. Serves as contact/processor between HR and the State Records Center for the Total Recall system. Manages the Department’s Performance Management Program for assigned divisions to ensure plans are completed on time. Prepares reports using data from the People First system, and/or some other program; reviews data to ensure information is complete and accurate; conducts summaries, trend analyses or recommendations to requester.
Performs other related duties and/or special projects as assigned. Provides split coverage for the HR email account, HR phone line and Office of the Secretary Receptionist desk. Knowledge/Skills/Abilities: Knowledge of Florida personnel statutes and rules pertaining to recruitment and selection and classification. Experience processing personnel actions and organizational changes in People First system. Knowledge of Florida public records and retention laws. Proficiency in creating HR reports in various programs or applications. Minimum Qualifications: High School Diploma A minimum of six (6) months of recruitment or classification experience with a State of Florida agency.
Preferences: Preference will be given to applicants with experience in Background Screening Process. Preference will be given to applicants with both recruitment and classification experience.
