The agency oversees services for child safety, fostering, adoption, domestic violence, adult protective services, refugees, homelessness, mental health, substance abuse, childcare providers, human trafficking and public assistance. The agency’s mission is to work in partnership with local communities to protect the vulnerable, promote strong and economically self-sufficient families, and advance personal and family recovery and resiliency.

Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation

of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders.

Northeast Florida State Hospital (NEFSH) is a 613-bed, licensed mental health treatment facility that provides person-centered services to adults suffering from severe and persistent mental illness. The hospital, located in Macclenny, was established in 1959 and is the largest state operated civil treatment facility. NORTHEAST FLORIDA STATE HOSPITAL IS A TOBACCO FREE FACILITY. TO BE CONSIDERED FOR THIS POSITION RESPONSES TO THE QUALIFYING QUESTIONS ARE REQUIRED AND MUST BE VERIFIABLE BASED ON YOUR SUBMITTED APPLICATION.

THIS IS AN ANTICIPATED VACANCY. This is a highly responsible and professional position that will serve as a Senior Clerk at the Northeast Florida State Hospital.

T his position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented. Specific Duties and Responsibilities include: Manages the daily administrative and clerical functions associated with the hospital’s electronic Service Request System (SRS). Types and prepares information for purchase requisitions in My Florida Market Place (MFMP) to purchase materials for the day to day operation of the different trades in the maintenance department.

Receive and sign for all orders. Prepare direct/purchase orders for annual contracts with Vendors. Serves a liaison with staff of the Warehouse, Purchasing Department, and Accounts payable regarding all activities with processing purchase requisitions and payment to vendors for the maintenance department. Answers telephone for Engineering/Maintenance Department and distribute calls to individuals. Takes all emergency work requests by phone. Informs Trades Supervisor concerning work orders to assure optimum customer satisfaction.

Tracks completion of service requests and inputs pertinent data in the Service Request System, communicate with maintenance staff by radio to report emergency service requests received. Compiles research information and tracks due dates for special reports using data entry and word processing skills to include but not limited to Annual Fire Marshall site visit and Annual AHCA Review. Maintains all tickler files for correspondence that requires further action and tracks to completion. Prepare and type minutes for department meetings, correspondence, memorandums, and reports.

Works with Staff Development & Training to monitor, track, and schedule Engineering/Maintenance staff for educational and training classes. Assist with the preparation of the annual performance appraisals. Serve as committee member on interview teams within the Engineering/Maintenance Department. Completes hiring packets. Orders office supplies monthly and maintains an adequate inventory of supplies for the Engineering/Maintenance Department assigned area. Maintains the Engineering Quality Board. Performs other related duties as required. Knowledge, Skills and Abilities required for the position: Knowledge of general office procedures and practices.

Knowledge of correct grammar usage. Knowledge of basic arithmetic. Ability to prepare reports and correspondence. Ability to plan, organize and coordinate work activities. Ability to develop and implement office procedures. Ability to follow instructions. Ability to review data for accuracy and completeness. Ability to perform basic arithmetical calculations. Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. Minimum Qualifications: Two years of secretarial or clerical work experience.

College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience. A high school diploma or its equivalent can substitute for one year of the required work experience. Preference will be given to applicants who have: Intermediate skills in Microsoft Word, Power Point, and Excel.

Five years’ experience in general office management procedures.
